Expense Tracking

HostFi tracks every expense by property and category, giving you a clear picture of where your money goes.

Categories

Every expense is assigned to one of these categories:

These categories map directly to IRS Schedule E for tax preparation.

Adding Expenses

There are 6 ways to add expenses:

  1. Manual entry — Add expenses one at a time from the Expenses page
  2. Email parsing — Forward bills to your unique @in.hostfi.ai address
  3. Receipt scanning — Upload a photo or PDF of a receipt
  4. CSV import — Bulk import from a spreadsheet
  5. PMS sync — Auto-extracted from booking data (cleaning fees, platform commissions)
  6. Bank sync — Auto-imported from your bank account via Plaid

Search, Sort, and Filter

The Expenses page supports:

  • Search — Find expenses by description or vendor
  • Sort — Sort by date, amount, or category
  • Filter — Filter by property, category, or date range
  • Pagination — Navigate through large expense lists

Editing and Deleting

Click any expense row to open the edit modal. You can update any field or delete the expense.
